When planning an office move, budgeting is not just a key component of the process &#8212; it could very well be the most important factor. Budgeting consists of making a list of vendors that you&#8217;re going to need &#8211; like furniture, telephones, cabling, movers, and construction &#8211; then estimating the cost of each vendor&#8217;s services. However, many companies fail to consider the soft costs associated with each move. They also don&#8217;t have a clue on how to minimize them. <p><strong>The Challenge</strong><br />
<a href="http://www.goldengatecompany.com/ggc-coordinates-move-of-three-high-schools-over-a-single-summer/"> Envision Schools</a>, a non-profit charter school funded by the Bill Gates Foundation, had three high schools to move over a single summer and only one facilities person to handle all the details.</p>
<p><strong>The Golden Gate Company Solution</strong><br />
The GGC presented an RFP to hire the movers and coordinate a logistical schedule to make sure everything happened exactly when it was scheduled to happen. We reviewed the labeling of furniture so that the movers could move quickly upon arrival and worked closely with the school&#8217;s personnel to ensure that teachers would get everything they needed at the new location.</p>
<p><strong>The Results	</strong><br />
Thanks to our execution, everything was ready for the return of the teachers at the end of summer. As Bob Fyles, Director of Facilities for Envision Schools, said:  &#8220;GGC was sensitive to our needs and took the time to research our project requirements. GGC was very flexible and yet very focused on our moves. We needed to relocate three high schools in a very short window. Without GGC&#8217;s expertise and experience, the entire project would have been difficult, at best. However, due to interpersonal skills and project knowledge, the moves were flawless.&#8221;</p>

<p><strong>The Challenge</strong><br />
Our client, Husic Capital Management, was relocating from the Bank of America Building in San Francisco to another beautiful office downtown about six blocks away. The challenge was that they were pulling furniture from storage to outfit their new office. Because the items had been in storage for so long, it was difficult to say what was inside and whether the items would coordinate with their new office space.</p>
<p><strong>The Golden Gate Company Solution</strong><br />
The GGC met regularly with the client to understand their needs in the new space. We then took a trip to Husic&#8217;s storage unit to pull furniture and match like items together. We used measurements to put together a space plan so that we knew where everything would go <em>before</em> it arrived at Husic&#8217;s new office space. We managed the movers over their move weekend to make sure that our space plan was implemented and that everything was in its place before the employees arrived at their new offices on Monday morning.</p>
<p><strong>The Results	</strong><br />
The new office space was beautiful on the day following the weekend move! Thanks to our space plan and worry-free execution, everything was in its place and the employees were able to get to work almost immediately.</p>
<p>As Tracy White, Husic Controller said:  &#8220;The follow up was spectacular. Without question, I will contact Golden Gate as my move coordination company of choice for all future office relocations with which I may be involved.&#8221;</p>

<p><a name="success"></a><a name="success"></a><a name="success"></a>150 people! one freight elevator! one weekend. That was the extremely tight deadline to accomplish a move in the San Francisco Bay Area for McKinsey &#038; Company, a global strategic and operational needs consulting firm. To save money on paying an additional month&#8217;s rent, it was decided to move their relocation up one week, which meant we had to start moving boxes into the new space while construction was being completed. To further complicate the process, we couldn&#8217;t move any earlier because the McKinsey staff needed to work up until close of business on Friday, while we wanted to avoid being in the way of construction. That basically gave us just one weekend to coordinate the move of 150 people and all of their associated computers and files. In addition, we had to juggle our limited schedule with the liquidator, who was clearing out their old office furniture while sharing the freight elevator with us. In all, this was not an easy task!</p>

<p><a name="success"></a><a name="success"></a><a name="success"></a>Our project manager, Kris Krause, worked closely with the team at McKinsey to prepare the employees ahead of time so the move would proceed quickly. She coordinated with the other vendors and created a schedule that allowed the movers to work with maximum efficiently. She even managed the movers late into the night throughout the entire weekend to make sure that everything was in place &#8212; and exactly where it should be &#8212; by Monday morning.</p>

<p><a name="sucess"></a><a name="sucess"></a><a name="sucess"></a><a name="sucess"></a>We had two weeks to move a 70-person company. After many months of finalizing the budget and construction plan, we were given a tight deadline to move Grant Thornton&#8217;s San Jose employees and clean out their offices. As move management consultants and coordinators, we generally take three months to prepare for a move of this size, so two weeks was definitely a challenge.</p>
<p><a name="sucess"></a><a name="sucess"></a><a name="sucess"></a><a name="sucess"></a>Luckily, our project managers, Kris Krause and Chris Carlson, were up for the job. Grant Thornton asked most of the employees to work from home or from their clients&#8217; offices over the next six months. The idea is that the remaining employees could move to one-half of the office while the construction crew remodeled the other half. Considering that Grant Thornton has occupied their space for 17 years, one of the most difficult parts of the project was separating the surplus from the essential.</p>

During this transition, they needed a company to oversee the movers, prepare each department internally for the move, and support both the purchasing and facilities departments with project management.</p>

Considering the size of the move and the tight academic schedule, it was especially important to meet their deadlines. Our project managers, Kris Krause and Chris Carlson, handled the project with aplomb &#8211; meeting every deadline and creating a smooth transition for each person affected by the move.</p>

The Golden Gate Company did an amazing job from coordinating the movers to meeting the tight deadlines. I would recommend them highly on all move coordination work. We just couldn&#8217;t have accomplished this without them.&#8221;</p>
